What is a Virtual Assistant and how can one help me?

A Virtual Assistant is first and foremost an assistant who serves their client by doing special projects or day to day tasks, but instead of working in your office, they work from a remote location.   You will work directly with your Virtual Assistant to continually look for ways they can add value.

Can my Virtual Assistant help multiple people and departments in my company?

YES. Great question.  One of the benefits of a Virtual Assistant is the ability can help anyone in your company and wear multiple hats.

Where is my Virtual Assistant located and will they work in my time zone?

All of our Virtual Assistants are located in the United States, and your assistant will work in your time zone.  If you travel, no problem.  Just share your schedule with your Virtual Assistant and they will be available.

How does my Virtual Assistant keep track of my hours?

Your Virtual Assistant will keep track of the hours worked with excel Time Tracking.  This allows them to and send you weekly or daily reports based on your preference.

How soon will my Virtual Assistant get started on my task?

Your Virtual Assistant will start on your task right away.  If this is your first time using our services, you will have a kick off call which can typically be scheduled the same day you purchase your hours.  If you are already a client, just let your Virtual Assistant know what task you need and they can start the same day.

Do my hours roll over?

YES. We believe that if you pay for the hours, you are entitled to use them. Your initial consultation will include an estimate of how many hours we believe your need based on your project or daily tasks.  

Can my assistant send emails with our company domain?

YES. Your IT department or tech team should be able to create an email for your assistant allowing them to send/receive emails from your domain or send/receive emails acting as you.  This adds more coherence and eliminates any confusion from having different domains.  

Will my Virtual Assistant be working on the weekend?

If needed your Virtual Assistant will work on the weekends to complete an urgent task.  We understand for most clients, work doesn’t stop just because it’s Saturday, so we work with your schedule.

Will my Virtual Assistant be working on holidays?

We do have Holiday hours if needed, please ask about pricing.  Holiday fees will be incurred for the following Holidays.

Can my Virtual Assistant handle scheduling?

YES. Your assistant can coordinate meetings, appointment and manage your calendar.  We will just need you to share access with your Virtual Assistant.

Can my Virtual Assistant make purchases on my behalf?

Definitely.  Your Virtual Assistant can make purchases, place orders and schedule payments securely.  To ensure your information remains safe, we will only collect your credit card information, passwords and other sensitive data over the phone.  See our security protocol below.

Is there a monthly charge?

NO. One of the benefits of A Plus Assistants is we do not have a monthly charge.

How do I know my Credit Card information is safe with my Virtual Assistant?

First, A Plus Assistants makes sure every Virtual Assistant is bonded and insured.  Your Virtual Assistant will email you a CC authorization form that you will sign giving them the authority to make purchases on your behalf.  Once the CC form is signed, your Virtual Assistant will call you and collect your information over the phone.  Once the information is collected they will ask you if you would like them to destroy the information after one use, or other safe arrangements if you know they will be making frequent purchases on your behalf.  

Can my VA make inbound/outbound phone calls?

YES. Your assistant is able to make inbound/outbound calls on your behalf using their line.  Some companies prefer to send their Virtual Assistant a company cell phone to keep the phone numbers cohesive with their company.  This is completely up to you.  

Can my Virtual Assistant keep my inbox organized?

YES, they can! Your Virtual Assistant can read, send, delete, organize, filter, and create rules for email messages on your behalf. It’s a great way to stay on top of email and keep your inbox tidy.

Can my Virtual Assistant edit and format a presentation for me?

YES, 100% With your initial guidance, your assistant can create, edit and format presentations.  If your presentation is dealing with information that is not yet public knowledge, your Virtual Assistant should sign a nondisclosure agreement either provided by your legal team, or by A Plus Assistants.

Will my Virtual Assistant be able to use specialized software and programs?

While we do not guarantee our assistants will be familiar with a specific specialized software, our Virtual Assistants are always taking classes, so they can add your software or program to their training.  

Can my Virtual Assistant sign contracts on my behalf?

Your Virtual Assistant can do all the groundwork, but as a rule of thumb they should not sign any contracts on your behalf.  If your legal team has an Agreement or Authorize to give A Plus Assistants authority to sign for you, you can certainly discuss that with your Virtual Assistant.  

How do I know my Virtual Assistant has experience?

A Plus Assistants only hires individuals with post graduate degrees and a minimum of 15 years corporate experience.  

How does payment work?

We accept all major credit cards, cash and checks.  Once your hours are purchased we will send you an invoice and your Virtual Assistant will start work as soon as payment is received and processed.

Do you have a referral program?

YES! We absolutely do!  If you refer someone and they buy even 1 hour of services, you get $100 to use with A Plus Assistants.
